1. Introduction
1.1. These Terms and Conditions govern the provision of educational services by Dips Tutoring Services.
1.2. By registering a learner, paying tuition fees, or allowing a learner to attend classes, the parent, guardian, and learner acknowledge that they have read, understood, and agreed to be bound by these Terms and Conditions.
1.3. These Terms and Conditions are intended to promote a productive learning environment and to ensure fairness to all learners enrolled in the programme.
2. Classes and Scheduling
2.1. Dips Tutoring Services offers live, in-person group classes only.
2.2. Classes are conducted according to the official Dips timetable, which will be communicated to parents and learners in advance.
2.3. Lessons are delivered in groups, and all learners are expected to attend regularly and arrive on time.
2.4. Dips Tutoring Services reserves the right to amend class schedules when necessary. Parents and learners will be informed of any changes within a reasonable time.
3. Admission Policy
3.1. New learners are admitted only during the period from January to March each academic year.
3.2. Applications received after March shall be considered late registrations and will only be accepted where space is available and where Dips determines that the learner can reasonably integrate into the programme.
3.3. A late registration fee may apply to all learners admitted after the normal registration period.
3.4. Learners who have failed the first school term will not be admitted during the second term, as joining the programme at that stage may negatively affect both the learner's progress and the progress of the group.
3.5. Admission remains subject to the availability of space.
4. School Holidays, Attendance and Monthly Tuition Fees
4.1. Dips Tutoring Services follows its own academic programme and calendar.
4.2. Classes continue during school holidays, except for a 10-day break immediately after schools close. Thereafter, classes resume according to the Dips academic calendar.
4.3. This arrangement allows sufficient time to complete the school curriculum, which is extensive and cannot reasonably be covered during school terms alone.
4.4. Tuition fees are payable every month of the academic year, including months during which classes are held in school holidays.
4.5. Monthly fees reserve a learner's place in the programme and are not calculated according to the number of classes attended.
4.6. A learner who is absent due to family holidays, travel, illness, personal commitments, sporting activities, cultural events, or any other reason remains liable for the full monthly tuition fee.
4.7. No refunds, discounts, credits, or fee reductions shall be granted for missed classes resulting from a learner's absence.
4.8. Learners who miss classes will rejoin the programme at the point where the group has progressed.
4.9. Dips Tutoring Services is not obliged to repeat lessons, slow the pace of instruction, provide individual catch-up lessons, or reteach work missed because of a learner's absence.
4.10. Parents and guardians acknowledge that prolonged absences may affect the learner's academic performance, and Dips Tutoring Services shall continue teaching according to the planned programme without delaying the progress of the class.
5. Payment Terms
5.1. Monthly tuition fees are payable in advance on or before the agreed payment date.
5.2. Payments shall be made by bank deposit only.
5.3. The learner's full name and surname must be used as the payment reference.
5.4. Proof of payment must be submitted via WhatsApp or by hand immediately after payment has been made.
5.5. Failure to pay fees by the due date may result in the learner being suspended from attending classes until the account has been settled in full.
5.6. Dips Tutoring Services shall not be responsible for lessons missed as a result of late payment or non-payment.
5.7. Outstanding fees remain payable regardless of whether the learner attended classes during the period concerned.
6. Parent and Guardian Responsibilities
6.1. Parents and guardians are expected to support their children's education by providing a suitable learning environment and encouraging regular attendance.
6.2. Parents shall ensure that learners arrive punctually, attend classes consistently, and complete all assigned homework and revision activities.
6.3. Parents are responsible for informing Dips Tutoring Services of any medical conditions, learning barriers, disabilities, allergies, or other circumstances that may affect the learner's participation.
6.4. Parents are encouraged to maintain regular communication with the tutor regarding the learner's academic progress and conduct.
7. Student Performance and Academic Progress
7.1. Dips Tutoring Services is committed to providing quality academic support designed to improve learners' understanding and performance.
7.2. Academic success depends on several factors, including attendance, commitment, effort, homework completion, study habits, parental support, and the learner's willingness to participate.
7.3. While every reasonable effort will be made to assist learners, Dips Tutoring Services does not guarantee specific examination results, grades, or academic outcomes.
7.4. Where a learner consistently experiences academic difficulties, Dips Tutoring Services may consult with the learner and parent to identify possible causes and recommend appropriate interventions.
8. Code of Conduct
8.1. Learners are expected to behave respectfully towards tutors and fellow learners at all times.
8.2. Disruptive, disrespectful, abusive, violent, intimidating, or inappropriate behaviour will not be tolerated.
8.3. Learners who fail to comply with the Code of Conduct may receive a verbal warning, written warning, temporary suspension, or permanent removal from the programme, depending on the seriousness of the misconduct.
8.4. Where a learner is removed from the programme because of misconduct, no refund of tuition fees shall be payable.
9. Privacy and Confidentiality
9.1. Dips Tutoring Services respects the privacy of all learners and parents.
9.2. Personal information collected during registration and throughout the learner's enrolment shall be used solely for educational and administrative purposes.
9.3. Information will not be disclosed to third parties without consent unless disclosure is required by law.
9.4. Dips Tutoring Services may maintain records relating to attendance, academic progress, assessments, and communication with parents for educational purposes.
10. Limitation of Liability
10.1. Dips Tutoring Services shall not be liable for poor academic performance resulting from absenteeism, lack of effort, failure to complete homework, lack of parental support, illness, or any other circumstances beyond its reasonable control.
10.2. Dips Tutoring Services shall not be liable for any indirect or consequential loss arising from participation in the programme.
10.3. Although every effort is made to provide high-quality educational support, no guarantee is made regarding examination results, school promotion, or admission to any educational institution.
11. Termination of Services
11.1. Either Dips Tutoring Services or the parent or guardian may terminate the learner's enrolment by giving written notice.
11.2. Tuition fees already paid are non-refundable where the parent or guardian elects to terminate the learner's enrolment.
11.3. Where Dips Tutoring Services terminates the enrolment for reasons other than learner misconduct, any fees paid in advance for services not yet provided shall be refunded.
11.4. A learner who withdraws from the programme and later wishes to return shall be treated as a new applicant and admission shall be subject to space availability and the admission requirements applicable at that time.
11.5. Dips Tutoring Services is under no obligation to reserve a learner's place during any period for which tuition fees have not been paid.
11.6. Dips Tutoring Services reserves the right to amend these Terms and Conditions from time to time. Any amendments shall be communicated to parents and shall take effect from the date specified by Dips Tutoring Services.
Acceptance of Terms and Conditions
By signing the registration form, paying tuition fees, or allowing a learner to attend classes, the parent or guardian confirms that they have read, understood, and accepted these Terms and Conditions and agree to comply with them throughout the learner's enrolment with Dips Tutoring Services.
